Step by step

  1. 1

    Open Invoices

Click Invoices in the left-hand menu. This brings up your full list of billed jobs and outstanding balances.

  2. 2

Open the invoice you want to send

Click an invoice to open the full summary, and check the line items and totals to make sure everything is right.

  3. 3

    Send it to the client

When you're ready, click the dark Send button. A message window opens so you can review the email before it goes - the invoice PDF is attached automatically. Then click Send.

  4. 4

    Record the payment

You have two options. If you've connected an accounting system like QuickBooks or Xero, the invoice is marked as paid as the funds hit your bank account and reconcile. Alternatively, log it manually by clicking the Paid button at the bottom right of the screen or directly in the payment section.

What you'll achieve

  • Invoices reviewed and sent with the PDF attached
  • A clear view of billed jobs and outstanding balances
  • Payments recorded so every invoice shows the right balance

Pro tips

  • Connect Stripe or Square in Settings → Integrations to add a pay button to your invoice emails.
  • Set clear payment terms (e.g. 7 days) so expectations are agreed up front.
  • Use the Overdue filter on the Invoices list to see who to chase.
